What we collect, and why
When you contact us through a form
We collect your name, email address, phone number, company name and the message you write. We use it to answer your enquiry and follow up. The legal basis is our legitimate interest in responding to people who get in touch — and, where a business discussion is underway, steps prior to entering a contract.
The data is transferred to our customer management system, SuperOffice, via the integration service Zapier.
When you book a demo
Bookings are handled by Calendly, where you provide your name, email address and anything else you choose to add. The meeting is held over Microsoft Teams. The purpose is to hold and follow up the meeting. The legal basis is steps prior to a contract, alternatively legitimate interest.
When you visit the website
The site may use cookies for visitor statistics. Analytics cookies are only set if you consent. Necessary cookies are required for the site to work.
If you are a customer
The processing of personal data within the POS system itself is governed by the customer agreement between you and OPEN. This policy covers the website.
Who we share data with
We never sell your data. We share it with suppliers who help us run our business and who process it on our instructions:
- Kinsta — hosting for the content system
- Vercel — delivery of the website to visitors
- Resend — sending email from the website's forms
- Calendly — meeting bookings
- Zapier — transferring form submissions to our customer system
- SuperOffice — our customer management system
- Microsoft — email and meetings
- Google — visitor statistics, where you have consented
Some suppliers may process data outside the EU/EEA. Where they do, transfers are made under the European Commission's standard contractual clauses or equivalent safeguards.
How long we keep it
- Form enquiries: 24 months after the most recent contact
- Bookings and meeting records: 24 months
- Website analytics: up to 14 months
- Customer data under contract: as set out in the customer agreement and Swedish accounting law
Your rights
You have the right to know what data we hold about you, to have inaccurate data corrected, to have data erased where we have no obligation or right to keep it, to object to processing based on legitimate interest, to request that processing be restricted, to receive the data you provided in a machine-readable format, and to withdraw consent at any time.
Email administration.se@openpos.tech and we'll help you. You also have the right to lodge a complaint with the Swedish Authority for Privacy Protection (IMY) if you believe we are processing your data incorrectly.
Security
We protect your data with technical and organisational measures — encrypted transfer, access control, and limiting access to the employees who need it.

We may update this policy. The latest version is always on this page, with the date of the most recent update at the top.
